Privacy policy

Last updated: draft. This policy explains how MachAIr handles personal data for the public marketing site and the MachAIr application.

Who we are

MachAIr provides grounds-intelligence software and drone survey services for golf clubs. For data submitted through this marketing site (enquiries and demo requests), MachAIr is the data controller. For personal data held inside a club’s MachAIr account, the golf club is the data controller and MachAIr acts as its processor under a data processing agreement.

What we collect

• Enquiry details you send us through a form on this site: your name, email, club, course and any message. We use these only to respond to you.
• Account and operational data inside the app (for example staff profiles, spray and compliance records, and member contributions). This is processed on the club’s instructions. The full inventory and lawful bases are recorded in our internal processing register.

Why we use it and our lawful basis

We rely on legitimate interests to reply to enquiries you send us, and on contract and legal obligation for data processed to deliver the service (for example, statutory pesticide application and incident records). Some data is processed on the basis of consent, such as opt-in benchmarking and member location.

Sharing and sub-processors

We do not sell personal data. We use a small number of infrastructure providers to host and run the service (for example database hosting and email delivery). These act as our sub-processors under contract. A current list is available on request.

Retention

We keep enquiry data only as long as needed to deal with your request and a reasonable follow-up period. Operational records are retained for the periods required by law (for example, statutory minimums for pesticide and incident records) and otherwise per the club’s instructions.

Your rights

Under UK data protection law you have rights to access, correct, erase, restrict and object to the processing of your personal data, and to data portability. To exercise a right relating to data held in a club account, contact the club. For anything else, email us at hello@machair.app. You can also complain to the UK Information Commissioner’s Office (ICO).
